CHECK-IN/CHECK-OUT:
Check-in begins at 3:00pm. Check-out is at 11:00am daily.

LATE CHECK-OUT:
Granted on a per situation basis.  Unapproved late check-outs will be charged $50 after a 30-minute grace period.

LATE ARRIVAL/EARLY DEPARTURE:
Rates are not adjusted for late arrival or early departure. You will be charged for the full reserved time period even if you decide to shorten your stay.

DEPOSIT, CANCELLATION, AND CHANGE POLICY:
100% of paid prepayments refundable when canceled 14 days before arrival or earlier. 50% of paid prepayments refundable when canceled 3 days before arrival or earlier. 0% refundable if canceled after.

All cancellation requests must be emailed to book@theherwoodinn.com. If credit is issued, it can be applied to a reservation one year from the original reservation date. Credit can only be applied one time from the original reservation. Cancellation policies can vary for specials, group event bookings or packages.

TAXES and FEES:
The Herwood Inn charges the following taxes and fees:

New York State Sales Tax 8%
Ulster County Hotel Tax 4%

WILDLIFE:
Although we are close to town, we are in The Catskills and food/recycling left outside will attract animals. You will be fined for leaving food or trash outside of your suite or in the common outdoor spaces, this is to ensure the safety of all of our guests and local wildlife. Please make sure that all pets are always on a leash when outside of the room.

PARKING AT OWN RISK:
One vehicle is allowed on property per suite. All vehicles are parked at the risk of the owner. The Herwood Inn shall not assume liability or responsibility for any vehicle, occupants, or contents while operated or parked on the inn property. If a vehicle is left in the inn parking lot after the guest has departed without the written consent, we reserve the right to have the vehicle towed at the owner’s expense. No vehicle repairs on inn premises.

CHILDREN:
Well behaved children of all ages are welcomed. As the parents, guardians, or chaperones of children you are personally and legally responsible for and must supervise them at all times. For safety reasons, please do not leave children unattended in guest rooms or allow them to roam the inn property unsupervised.

QUIET HOURS:
10:00 p.m. to 7:00 a.m. If you become aware of a disruptive guest, please contact us on the Guest Direct Line. Televisions, voices, or other devices must be kept at a respectful low level at all times. Doors should be opened and closed quietly.

VISITORS:
No visitors after 10:00 p.m. Visitors must be approved prior to their arrival. Visitors must be accompanied by a guest at all times. Visitors are not allowed to use guest amenities including the hot tub and Wi-Fi. As a registered guest, you are responsible for your visitor at all times.

CHECKOUT POLICY:
Checkout is 11:00am. To request a late checkout please contact us by email or by in-room chat. This request can only be granted on a per situation basis.  Unapproved late check-outs will be charged $50 after a 30-minute grace period.

LOST AND FOUND:
The Herwood Inn assumes no liability for lost, misplaced, stolen, or damaged valuables or belongings. If you discover that you have left behind something of value to you, please call us immediately and we will try to assist you in locating your lost item.

FOUND ITEMS:
The Herwood Inn is not responsible for any item left behind by a guest. However, any item, with the exception of perishable items, left behind by our guests and found after departure by Housekeeping will be collected, logged in, and kept in a secure location for collection by the owner for up to fourteen (14) days.

RETURN OF LOST ITEMS:
We would be happy to return your lost item(s) to you by USPS. Sorry, no UPS or FED EX deliveries. Your credit card will be charged packaging and postage, plus a 25% handling fee. A separate receipt will be mailed to you. The Herwood Inn is not responsible for any item lost or misdirected during shipment by the Postal Service.

PET POLICY:
Your four-legged friends (DOGS ONLY) are welcome in the Mitchell Manor and Franklin Flat. Only 1 dog per suite. We currently do not charge any additional fees for your pup to stay with us. This is with the understanding that the room will be left without excessive dog hair and/or damage that will require additional housekeeper time or repairs.

Upon check-out, our housekeeping team will inspect the room. If damage from the pet is discovered, a minimum charge of $250 will be assessed to the guest’s credit card. Excessive pet hair will be a minimum of $50 and proportionate the amount of additional time required to clean.

If the damage is discovered to be a larger amount then $250 the guest will be notified via email or phone and the estimated price of the fixing the damage will be charged to the guest credit card that is on file. If any pets are discovered in rooms that are not specified as pet-friendly rooms, there will be a charge of $250 assessed to the room. Your furry friend will need to leave the property unless another pet-friendly room can be assigned. All pets need to be on a leash when outside of the room and on property. PETS MAY NOT BE LEFT UNATTENDED FOR MORE THAN TWO HOURS (e.g. Dinner).

NO IN-ROOM PARTY:
The Herwood Inn enforces a No In-Room Party Policy to ensure we can protect the inn and our guests at all times. No parties, loud disturbances and/or noise-nuisance are allowed or tolerated on these premises. In the event of a disturbance, one polite request (warning) will be given to reduce the noise. If our request is not followed, the guest will be asked to leave the inn without refund. Registered guest(s) is responsible for all persons visiting. Non-Registered visitors are only permitted until 10:00 P.M.

DO-NOT DISTURB AND ACCESS TO ROOMS:
To provide all of our guests with an exceptionally clean and safe inn experience, we reserve the right to enter your guestroom for reasonable purposes, such as for housekeeping, maintenance, verify that the room, its furnishings, and mechanical equipment are intact, or to address or prevent a violation of our Inn Policy/House Rules. Inn staff will normally knock and announce themselves before entering your guestroom, unless we believe that exigent circumstances exist. Please contact us if you are staying in the room due to illness. Management reserves the right to enter a room with a known status of “Do Not Disturb” in the event of an emergency, suspected illegal activity taking place, disturbing other guests, or damage being done to inn property. In the event of suspected illegal activity, management reserves the right to summon law enforcement to aid in eviction. The right to privacy ends when a Inn Policy/House Rule is broken. Law enforcement will be granted immediate access.

100% SMOKE-FREE:
The Herwood Inn is a 100% Smoke-Free property. For safety and to assure that our facility is not exposed to items or actions that create an odor which is unhealthy and objectionable to our guests and staff, and that is difficult to remove from the air, carpet, walls, and furniture we do not permit smoking tobacco, marijuana, illegal drugs, e-cigarettes, vape pens, vaping, cartridges containing the liquid of nicotine, hookahs, cigars, or candle burning in our facility.

Guests are encouraged to notify Front Desk staff immediately if they smell cigarette, or any other objectionable odors. This policy is not intended to stop people from smoking, but to regulate where they smoke and how it affects others. If the presence or smell of smoke is detected in the vacated room, you will be assessed a $250 cleaning fee.

KITCHEN:
All of our suites have kitchenettes available for our guests use. The kitchens come equipped with necessary and specific equipment for proper a proper cooking environment. Guest are to only use the equipment that comes along with the kitchen unless approved by our staff in writing.

FIREPLACE:
Our chiminea fireplace located in the patio can be used for our guests enjoyment. Logs may be taken from our firewood shed closest to Franklin Flat. Fatwood fire starting sticks are kept in the rear of the pergola, along with lighters. As the parents, guardians, or chaperones of children you are personally and legally responsible for and must supervise them at all times. For safety reasons, please do not leave children unattended near the fireplace.

DAMAGE AND/OR THEFT OF INN PROPERTY:
You are liable for any damage caused (whether by the deliberant, negligence, or reckless act to the room (s), inn’s premises or property caused by you or any person in your party whether or not staying at the inn during your stay. The Herwood Inn reserves the right to retain your credit card and/or debit card details as presented at registration and charge the credit /debit card in such amounts as it shall in its sole discretion deem necessary to compensate or make good the cost or expenses incurred or suffered by The Herwood Inn as a result of the aforesaid. Should this damage come to light after the guest has departed, we reserve the right and you hereby authorize us to charge your credit or debit card for any damage incurred to your room or the Inn property during your stay, including and without limitation for all property damage, missing or damaged items, smoking fee, cleaning fee, guest compensation, etc. We will make every effort to rectify any damage internally prior to contracting specialist to make the repairs, and therefore will make every effort to keep any costs that the guest would incur to a minimum.

DAMAGE DISCOVERED AFTER CHECK-OUT:
Guest Rooms found with waste scattered around, in complete disorder, and/or “trashed” will be subject to a $250.00 maintenance deep cleaning fee, administration fee and/or third party fees.

DAMAGE TO ROOM:
Damage to rooms, fixtures, furnishing and equipment including the removal of electronic equipment, towels, art work, etc. will be charged at 150% of full and new replacement value plus any shipping and handling charges. Any damage to inn property, whether accidental or willful, is the responsibility of the registered guest for each particular room. Any costs associated with repairs and/or replacement will be charged to the credit card of the registered guest. In extreme cases, criminal charges will be pursued.

DAMAGE TO MATTRESSES AND BEDDING:
Damage to mattresses and linen including; towels, mattress pads, sheets, bedspreads, blankets resulting from the use of body oils, make-up, shoe-polish, etc. will result in a charge for the special cleaning, repair or replacement of the damaged article.

DAMAGE OR TAMPERING WITH FIRE DETECTION SYSTEMS/FIRE-FIGHTING EQUIPMENT:
The Herwood Inn reserve the right to take action against any guest or visitor found to have tampered or interfered with any detection equipment throughout the inn, including detector heads in public areas, guest rooms, break glass points and fire extinguishers. Guests or visitors found to have tampered with any fire detection or fire-fighting equipment will be charged with any costs incurred by the inn due to their actions and will be evicted from the inn. Depending on the severity of the guest actions, law enforcement may become involved at the inn’s discretion. Should the fact that fire-fighting or detection equipment had been tampered with come to light after the guest has departed, we reserve the right and you hereby authorize us to charge your credit or debit card for any damage incurred to your room or the Inn property during your stay, including and without limitation for all property damage, missing or damaged items, smoking fee, cleaning fee, guest compensation, etc.

ROOM FURNITURE / DECORATION:
Guests are not allowed to move or remove furniture. It is also not allowed to move or remove the decoration or electrical appliances, or use them for personal purposes other than for which they are intended. Our staff will put everything back in its original place, and possible damage will be charged on your credit card.

COVID-19 PRECAUTIONS:
We designed The Herwood Inn with personal getaways in mind! All guests are able to arrive and check into their suite with zero personal contact. All suites are completely private and entryways are within a 6 ft distance or more. All suites + spaces will be completely sanitized using hospital-grade EPA approved agents. We use Clarifion Negative Ion Generator systems in all suites to filter out and eliminate bacteria dust & allergens in the air. We will continue to offer contactless self check-in, virtual service requests, concierge support and messaging via your in-room iPad.

We are proud to add Force of Nature cleaning products to our bucket of EPA Approved cleaners - we are hopeful more eco-friendly + cruelty free businesses with EPA approvals will come to market. Force of Nature is on EPA’s List of Disinfectants for Use Against SARS-CoV-2, the cause of COVID-19. No allergens, irritants, or toxic chemicals harmful to kids, pets, or the Earth. And of course it’s cruelty-free!
